September is just around the corner. The reduced activity should serve to get everything ready for the last quarter.
Organizing your mind, office, files and computer is vital to save time
The month of August continues. And, although the country does not come to a standstill, as it does every year, the production slowdown is noticeable in many sectors. The administration azerbaijan email list 194608 contact leadsdepartments of companies have ended up exhausted by the commercial and fiscal demands of the last few months and almost everyone has gone on vacation.
But, everyone? In all companies there are administrative staff who, by their own decision, or forced by the circumstances of the company, must work all or part of this month.
And the truth is that, whether we like it or not, the level of administrative activity during this summer month is considerably reduced. Therefore, it is a good time to carry out some of those administrative, accounting and tax tasks that are postponed during the busiest months. Let's look at some of them.
1. Accounting setup
It's a good time for a thorough review of the accounting balances . The accounting process requires, in addition to recording the accounting facts and documents, the performance of balance review tasks to verify their correctness, reasonableness and coherence. It's time to print the bank statements and check that the balances match on each date.
This month of tranquility for administrative departments is essential to address the reconciliation of balances from suppliers, clients and financial institutions, to give examples of those items that require greater control. A review of the outstanding balances pending collection, analyzing what actions can be taken to obtain payment, is essential. Or checking that the balance of outstanding invoices that we have in our accounting program is the real one.
2.Documentation on related-party transactions
Since 25 July 2017, companies required to prepare the mandatory documentation for their related-party transactions must have the documentation relating to transactions carried out during the 2016 financial year available to the Tax Agency. Many companies do not have this documentation prepared until months after that date. August is an ideal month to give it a good push.
In addition, during the month of November the new form 232 must be completed and submitted , so it would be a good idea to obtain the necessary information in advance.
3. Filing of periodic taxes
For some years now, the Treasury has “normalized” the filing of taxes in August. Previously, companies that filed VAT and IRPF monthly had until September 20 to prepare, file and pay the forms corresponding to the operations of the month of July.
Since the aforementioned normalisation of deadlines, the deadline now ends on 20 August (except for those obliged to the SII , who have until 30 August). In short, someone has to take care of filing and paying the VAT and IRPF for the month of July.
We should also remember that, unless these days have been announced as “courtesy days”, the Treasury may send notifications to companies on the Electronic Office during the month of August.
4.Present the annual accounts
Annual accounts must be submitted within one month of their approval date . This means that, for fiscal years whose fiscal year closes on 31 December of each year (the most common), the deadline for approving the accounts would be 30 June of the following year; consequently, the deadline for submitting the accounts ends, in this example, on 30 July of each year .
Perhaps with the chaos of holidays, tax filings and other formalities in July, we have not had time to submit the accounts . It is time to do it now. Better late than never and thus reduce the fine for the delay.
5.Sort the file
What better month than August to carry out a review and clean-up of the archives? With the presentation of the Corporate Tax in July, another fiscal year has expired and part of the documentation can be destroyed.
Be careful, however, when assuming that it is enough to count back four years and throw away everything before . As we indicated in a previous article on the documentation to keep, there are fiscal and commercial issues to take into account before doing the cleaning.
Likewise, most likely, a lot of accounting and tax documentation from the current year is still pending filing, since this task is usually left for times when there is less work.
6.Organize the computer
Sometimes we start saving files and more files on our computer and we don't realize that this is not effective. It's time to organize all the files into folders and get rid of those things that only take up space on our computer.
